Connecting with Hosts: To Dos

Stay connected with you upcoming party host 

Hosting parties is a great way to reach new groups of people to sell your products and find new team members. Connecting with your hosts in advance ensures parties are a key source of sales for your growing business. 

If your company integrates host data with AMI, your hosts will automatically be tagged with the Host contact category in AMI, which with enable our event To Dos discussed below. 

If your company doesn't integrate event and host data with AMI, you can tag a contact as a  Host using our contact categories. This allows you to easily filter for everyone you are currently talking to about a future party. 

How to tag a contact as a Host

  1. Open the AMI app 
  2. Tap the Contacts Tab 
  3. Search or browse for the contact you'd like to tag with a host-related category. Once you find them in the list, tap their name to open their profile
  4. Tap the + sign below the contact's name on their Profile page
  5. Tap Host under the Hosting headline 
  6. Tap Save at the top, right-hand corner

Filter for all your existing Hosts

  1. Tap the Contacts Tab
  2. Tap the Filter text link to the right of the Search textfield
  3. Tap the Host category and then tap Search at the top, right-hand corner 
  4. You will now see everyone tagged as a Host. You can tap anyone filtered to view their profile, write a note, or message them directly

Party Coaching To Dos (Partnership Only)

For companies who 1) have a partnership with AMI 2) integrate party data 3) have party coaching To Dos enabled, we have 3 To Dos that help you set up your next event for success. Two of the three To Dos are only relevant for parties that have a virtual or in-person event associated.

We dive into each To Do below. Note that party Coaching To Dos are not generated if:

  • You are the host of your own party
  • There is no host for the party
  • The party has been Closed or Cancelled

Party Coaching To Dos are also smart enough to ensure that no more than one To Do related to a party is open for you to complete at any given time. This helps ensure the Host isn't messaging more than once per day. 

There are 3 types of party coaching To Dos:

  1. Connect with Host for an upcoming party To Do: an opportunity to connect to a host for a party. It is the only To Do you receive for a party without a virtual or in-person event
  2. First pre-party To Do: the first reminder to a host to invite guests to a virtual or in-person event
  3. Second pre-party To Do: the final reminder to a host to invite guests to a virtual or in-person event the day before the event starts

1. Connect with Host for an Upcoming Party 

As parties are scheduled, AMI will prompt you to connect with your party host to make sure guests are invited and hosts have everything they need for a successful party. When you receive this To Do, this is a great time to share best practices with a first-time host. 

Note: If your party has an event and the first pre-party To Do is generated, this To Do disappears to prevent you from messaging your host more than one of the same day. 

Timing of the To Do

By default, AMI will prompt you to connect with an upcoming host within 24 hours the party is scheduled and synced to AMI. You can modify this setting by following these steps: 

  1. Open the AMI app
  2. Tap Settings on the top, right-hand corner of the To Dos tab
  3. Tap the Edit To Do preferences option
  4. Scroll to the bottom, until you see the Focus on Party And Event Sales heading. Tap the Connect with host to prep for an upcoming party option
  5. From there, tap any of the options to adjust your To Dos reminders for connecting with upcoming party hosts

2. First Pre-Party To Do

For parties with an actual event (either physical or virtual), this is the first reminder to connect with a Host a few days before the event starts to make sure the event is a success by inviting guests. If the event start data has passed by the time AMI has the party synced, this To Do will not be created.

This To Do is not generate or will disappear if:  

  • The event start data has passed by the time AMI has the party synced
  • It's time for the second pre-party To Do (see below)

Timing of the To Do

By default, AMI will prompt you to connect with an upcoming host 5 days before the start of a party. Depending on how soon after the party is synced to AMI that the event starts, AMI will ensure that you don't message your host more than once a day. 

You can modify when this To Do appears by following these steps:

  1. Open the AMI app
  2. Tap Settings on the top, right-hand corner of the To Dos tab
  3. Tap the Edit To Do preferences option
  4. Scroll to the bottom, until you see the Focus on Party And Event Sales heading. Tap the First follow up with host about upcoming party attendance option
  5. From there, tap any of the options to adjust your To Dos reminders for connecting with upcoming party hosts

2. Second Pre-Party To Do

For parties with an actual event (either physical or virtual), this is the second reminder to connect with a Host the day before the event starts to make sure the event is a success by inviting guests. 

This To Do is not generated if:

  • The event start date has passed by the time AMI has the party synced 
  • You completed the First Pre-Party To Do less than 24 hours before when this To Do needs to be generated

Timing of the To Do

By default, AMI will prompt you to connect with an upcoming host 1 day before the start of a party (or whatever setting your company has defaulted for you if your company is an AMI Partner). You can modify when this To Do appears by following these steps: 

  1. Open the AMI app
  2. Tap Settings on the top, right-hand corner of the To Dos tab
  3. Tap the Edit To Do preferences option
  4. Scroll to the bottom, until you see the Focus on Party And Event Sales heading. Tap the Second follow up with host about upcoming party row.
  5. From there, tap any of the options to adjust your To Dos reminders for connecting with upcoming party hosts
